4 Reasons You SHOULDN’T Use Guard Management Software

Consider this article a friendly dose of sarcasm. If your security company still runs on paper reports, phone calls and spreadsheets, here are four “reasons” to keep doing it, and what each one is really costing you. Spoiler: modern guard management software like TrackTik answers every one of them.
Want to go further? Our checklist of 20 questions to ask before buying guard management software helps you compare platforms with confidence.
Key takeaways
- Manual processes hide real labor costs.
Collecting, editing and sending reports by hand can fill entire roles that software handles faster and for less. - Clients increasingly expect technology.
Real-time visibility and accountability are becoming a baseline requirement in security contracts, not a bonus. - Competing on price is a race to the bottom.
Proof of service lets you win on value and protect your margins. - Retention depends on visibility.
Clients who can see the work are far less likely to shop your contract. - Early adopters get the most value.
Firms that switch on their own terms have time to master the tools before a client forces the change. - TrackTik covers the full operation.
Guard tours, incident reporting, scheduling and billing run on one platform, so every improvement builds on the last.
#1 Your Company Enjoys Wasting Time
It’s remarkable how many companies out there fall into a status quo of time wasting processes, so much so that there are even entire positions that only exist because of these inefficiencies. When you have that sort of organizational inertia, many companies become resistant to change, even if it’s something like guard management software that would clearly save time.
Many owners in this industry—and I used to be one of them—came through the guard ranks, don’t have much of a business background, and aren’t used to pushing innovation. These are the guys that continue to tout their experience when customers are really looking for specific solutions to their problems.
These are the guys that have employees whose only job is to collect, send, edit, and manage reports, even though that function could be replaced by software that would do it faster for a much lower cost. That’s before even taking into account the time that gets wasted trying to communicate with officers in the field, coordinate things like parking, and discuss concerns with customers.
Where the hours actually go
Most of the time a manual operation loses is spread across small, repeated tasks. Here is how the most common ones compare:
| Task | Manual process | With TrackTik |
|---|---|---|
| Daily activity reports | Handwritten, collected, retyped and emailed | Completed on a mobile device and visible to supervisors right away |
| Incident reports | Rewritten by a supervisor before the client sees them | ReportPro AI turns rough field notes into polished reports |
| Patrol verification | Paper logs clients have to take on trust | NFC, QR code, barcode or GPS checkpoint scans create a time-stamped record |
| Officer communication | Phone calls and texts that leave no trail | Post orders sent straight to officers’ mobile devices |
| Billing and payroll | Hours re-entered from timesheets into spreadsheets | Hours worked flow into payroll and invoices without re-entry |
Every row in that table is time someone on your payroll could spend supervising, selling or serving clients. TrackTik ReportPro AI removes the rewrite step entirely, and keeps the original and enhanced text side by side for a full audit trail.
#2 Your Company Prefers To Do The Bare Minimum
Lots of customers out there are already requiring their security contractors to use guard management software. They want the increased accountability and the ability to monitor and respond to issues in real time. Still, even if your clients are satisfied with paper reports, you should still be looking to improve your service in any way possible.
If you’re not adapting and innovating to constantly improve your service, that’s going to hurt you in a couple ways. For one, it’s going to be much harder to compete and win new business against companies that are using more advanced tools. Also, eventually one of your clients will ask that you start using a guard management system, and then you’ll be forced to make the switch.
As we discussed in our characteristics of successful Silvertrac customers, companies that make the switch on their own rather than being forced into it are almost always more successful. Do the bare minimum if you want, but those who are proactive will always win out in the long run.
What clients now expect from their security provider
- Real-time incident alerts. Clients want to hear about an issue while it can still be managed, not in tomorrow’s report.
- Verified patrols. Time-stamped checkpoint scans from a guard tour system prove officers were where they were supposed to be.
- Professional, consistent reporting. Clear reports with photos and complete details reflect the quality of your service.
- Data they can act on. Trends across incidents, sites and shifts help clients make better security decisions.
#3 You Like Competing On Price
The reason customers only seem to care about price is because the industry for so long has done a poor job of building credibility and differentiating services. If you just come in and talk about experience and accountability like everyone else, customers are always going to flip immediately to the back page and make their decision based on who has the lowest price.
If you want to offer the lowest price and can win customers that way, then all power to you, but that’s a hard model to sustain. You’ll end up with razor thin margins, have to cut corners to keep costs low, and usually end up losing customers when you can’t deliver the service you promised at the quoted price.
Fortunately, there are other ways. Rather than using price as a selling point, show customers how you can really add value to save them time and money.
How to compete on value instead of price
- Lead with proof, not promises. Bring sample reports and patrol data to every proposal.
- Show what you prevent. Share incident trends and response times, not just hours on site.
- Put technology in the proposal. Explain how clients will see the work as it happens. Our article on how guard management software will change your sales pitch shows what that looks like.
- Price for the service you deliver. When value is visible, you can defend a fair rate instead of matching the lowest bid.
#4 You Don’t Mind Losing Contracts
I don’t know any owner that doesn’t worry about losing contracts. If you’ve invested so much time and money into your business, you should always want to ensure that you’re retaining your customers. After all, it’s much cheaper to keep an existing customer than to go out and find a new one.
The problem is, if you’re not using guard management software, someone’s going to start taking your customers sooner or later. Their increased efficiency and capabilities will win customers over from your service. This is just the direction the industry is moving.
“It’s becoming the status quo, it’s becoming the basic requirement now in the industry, whereas five years ago it was just something that was optional,” said Johnny Page, co-host of The Silvertrac Extra podcast.
We’re at the point where not having the software is actually a competitive disadvantage. Standing out from the crowd means understanding how to get the most out of the software, and that means adopting it as soon as possible so you have the time to figure out how to use it.
Early warning signs that a contract is at risk
- Complaints you hear about secondhand. If the client tells your officer before they tell you, communication has broken down.
- Missed checkpoints or late patrols. Small gaps in coverage are often the first thing a client notices.
- Slower incident response. Delays between an incident and your report erode trust quickly.
- Fewer conversations with the client. Silence is not always satisfaction.
Guard management software surfaces these signals while there is still time to act. SFM Security used TrackTik’s automated solutions to improve operations and client satisfaction across 60 client sites in South Florida. Read the SFM Security case study to see how.

How TrackTik Turns Every Excuse into an Advantage
- Wasting time becomes automation. Reports, patrol records and timesheets flow through one system instead of being retyped.
- The bare minimum becomes accountability. Verified patrols and incident reports give clients a clear record of the work.
- Competing on price becomes differentiation. Proof of service turns into your strongest selling point.
- Losing contracts becomes retention. Warning signs show up in your data before the client picks up the phone.
