Your client wants guard management software because they don’t trust you. That’s the harsh reality of today’s security industry, but it is also a huge opportunity for security companies willing to be transparent.
Key takeaways
- Handwritten reports don’t prove anything.
Years of “no issues to report” can hide missed patrols that software reveals in weeks. - Low barriers to entry fuel distrust.
With so many new companies and thin margins, clients have learned to verify rather than assume. - Clients want proof, not promises.
Guard management software shows them what is happening on site and that they are getting what they pay for. - Transparency is a competitive advantage.
Owning problems quickly and openly builds more trust than a spotless paper report. - TrackTik turns proof into a selling point.
Verified guard tours, real-time reports and a client portal let clients see your work for themselves.
Eight Perfect Years
Let me tell you about a conversation I had with the security director of a zoo in Southern California.
Alan had recently taken over the security department, but the same contract security company had been working the site for more than eight years. As Alan settled into the new role, he began to question whether the overnight officers were completing their rounds as scheduled. To get more insight, he asked the security company to adopt an officer management solution with automated guard tour features.
That’s where Silvertrac, now part of the Trackforce family alongside TrackTik, entered the picture. About six months after the software launched at the site, the results were eye-opening.
Keep in mind that there were eight years of handwritten daily activity reports on file, with officers regularly noting that rounds were completed with “no issues to report.” Not once was there a record of officers missing patrols, leaving early or any other irregularity.
But once the software was in place, missed tours showed up on a weekly and sometimes nightly basis. Officers had a step-by-step plan laid out for them on post, and they were still failing to complete tours regularly. It’s a clear example of why you have to go paperless with your daily activity report.
Needless to say, the current security vendor has some work to do if it wants to keep that contract for another eight years.
But that’s not why Alan called me. He called because he had recommended the software to several other security directors he met at a recent event, and they had all had similar experiences, or at least similar suspicions. That conversation captures exactly why your customers want guard management software.
3 Reasons Clients Want (or Demand) Guard Management Software
The days of winning and keeping business with a handshake and your good name are coming to a close. It’s not your fault, and there are many factors at play. Here are the biggest ones.
1. Anyone Can Start a Security Company
Well, anyone can try. The barrier to entry is low, and new security companies open all the time. If you’ve been in the industry for 10 years or more, you’ve probably had an operations manager, supervisor or officer leave to start a company of their own.
2. Increased Competition Squeezes Margins and Performance
When margins and wages fall, performance and service feel the pressure. If we’re honest, the security industry as a whole hasn’t always lived up to the “under-promise, over-deliver” principle. Learn how to maximize your margins in contract security without cutting corners on service.
For decades, property managers and security directors have paid for service they didn’t always receive: officers failing to show up, leaving mid-shift, sleeping on the job or skipping regular rounds. Unfortunately, the industry’s stereotype has some truth to it.
3. Skepticism Is on the Rise
You might be the best guard company around, with top-notch officers and managers, world-class training and decades of experience. But it only takes one bad company to hurt everyone’s reputation.
When one company alters a report, bills for patrol stops it didn’t complete or fails to tell a client when officers drop the ball, skepticism grows. Combine that with the low barrier to entry and you get more low-cost, low-performance companies in the market. The result is widespread distrust, and clients now operate with a “trust must be earned, not given” mindset. Here’s what separates good and bad security reports.
Earn the Trust
So why do your clients want, and sometimes demand, guard management software?
Because it helps them see what’s happening on site and confirms they are getting what they pay for.
Your clients don’t expect you to be perfect, but they do expect you to own your mistakes and fix them. Use guard management software to catch early signs that officers aren’t performing and address problems quickly. Being transparent with your client will be a breath of fresh air, and it’s how you win contracts without being the lowest bid.
What Clients Want to See, and How to Deliver It
| What clients want | How to deliver it |
|---|---|
| Proof patrols were completed | Verified checkpoint scans with time stamps and GPS |
| Clear incident reports | Guided reports with photos, video and consistent detail |
| Real-time visibility | A client portal with live access to reports |
| Honest communication about problems | Proactive alerts and a clear plan when something goes wrong |
| Evidence of value over time | Monthly and quarterly summaries of patrols, incidents and response times |
What to Do When Software Reveals Missed Tours
If you roll out guard management software and discover missed patrols, don’t panic. How you respond is what earns or loses trust.
- Tell the client first. Share what you found before they find it on their own, and explain your plan.
- Find the root cause. Look at whether the issue is training, staffing, scheduling or a specific officer.
- Fix it fast. Retrain, adjust schedules or make staffing changes, and set real-time alerts for missed checkpoints.
- Show the improvement. Share follow-up reports so the client can see completion rates rise.
- Keep it visible. Continue sharing data regularly so transparency becomes part of your service, not a one-time event.
Reporting that makes the work visible is what turns a vendor into a partner. Read more in Vendors Get Fired, Partners Get Paid.
