Cover a Last-Minute Call-Off from Your Phone, with Licensed Officers Only

It’s 5:10 a.m. Your officer for the 6 a.m. shift at a client’s distribution center just texted that they can’t make it. You need someone on site within the hour, the replacement needs a valid license for the post, and you’d like to avoid paying overtime to get there.
This guide shows how supervisors handle that call-off in TrackTik from a phone, step by step. It covers spotting the open shift, finding a qualified replacement, confirming the replacement is licensed, and checking overtime before you assign. The setup checklist at the end lists what your admin configures once so every call-off runs this way.
Die wichtigsten Erkenntnisse
- Supervisors can cover a last-minute call-off from the TrackTik mobile app by finding available, qualified officers and offering them the open shift.
- Blocking expired hard skills keeps officers with lapsed licenses off the live schedule and out of replacement options.
- TrackTik works from the license expiry date you record and doesn’t check licensing registers, so update the record as soon as you learn of a suspension or revocation.
- Checking overtime before you assign a replacement protects your margin on the shift.
Step 1: See the open shift and act on it from your phone
The faster a supervisor knows a shift is uncovered, the more replacement options they have. In TrackTik, supervisors can view the schedule and manage shifts from the mobile app, so call-offs are handled wherever they are.
Two things help here:
- Unassign the shift as soon as the call-off comes in. That turns it into an open shift everyone with scheduling access can see, so a second supervisor or dispatcher can pick it up if you’re on the road.
- Set up alerts for late clock-ins. When an officer doesn’t clock in on time, the right supervisor gets notified, which catches the no-show who never called.
Step 2: Find officers who are available and qualified for the post
When you look for a replacement, TrackTik can narrow the list to officers who fit the position. That saves calling down a phone list of people who are off, already scheduled, or not cleared for the site.
What drives the list is the information already in each officer’s profile and the requirements on each position:
- Availability, so you only see officers who said they can work that time.
- Skills and Attributes, such as site training, a first aid certificate, or a firearms permit the post requires.
- Licenses and permits, covered in Step 3.
If several officers qualify, you can offer the shift to them and let the first to accept take it, instead of calling one by one.
Step 3: Make sure the replacement is licensed to work the post
At 5 a.m., the fastest option can be an officer whose license lapsed last week. TrackTik can keep that officer out of the running so the supervisor never has to catch it under pressure.
Whether your officers are licensed by a state, a province, or the UK’s Security Industry Authority (SIA), the setup is the same:
- Record each license in the officer’s profile. In Skills and Attributes, add the license under Licenses & Permits with its expiry date.
- Set an expiry warning. You can set a warning up to 180 days ahead, so renewals get handled before they become a scheduling problem.
- Make the license a hard requirement on the position. This tells TrackTik the post can’t be worked without it.
- Turn on blocking for expired hard skills. With blocking enabled, officers whose required license has lapsed drop off the live schedule and out of replacement options.
Suspensions and revocations
TrackTik works from the expiry date stored in the officer’s profile. It doesn’t connect to licensing registers, so a suspension or revocation needs to be recorded as soon as you’re notified. Updating the license record removes the officer from the schedule and replacements, and gives you a documented record of the step you took.
This matters because suspensions can happen at any time. In the UK, the SIA suspended 378 licenses and revoked 1,553 between April and June 2026, and a suspended holder can’t legally work in any licensable sector (SIA compliance and enforcement report).
Before you turn it on
- By default, TrackTik warns about an expired license but still lets you schedule the officer. Blocking is a setting you enable.
- Blocking requires the Scheduling module and a position with a hard requirement.
- Blocked officers still appear on the Schedule Template, so review templates when someone’s license lapses.
Step 4: Check overtime before you assign
The officer who answers first at 5 a.m. is often the one already close to their weekly hours. Seeing that before you assign protects your margin on the shift, since overtime on a contract billed at straight time comes out of profit.
When you assign a replacement, TrackTik can show whether the shift pushes the officer into overtime. If two officers qualify, you can pick the one who stays at regular time.
For managers running multiple regions, overtime visibility across branches is the bigger challenge. Margin Insight gives schedulers and finance the same dashboard, with a scheduling view that shows where overtime is building across sites before payroll closes. Margin Insight is available on request and configured for each customer.
Setup checklist for admins
A one-time setup makes every call-off run this way. Share this list with whoever manages your TrackTik configuration:
- Give supervisors mobile access to scheduling for the sites they manage
- Turn on late clock-in alerts and route them to the right supervisor
- Ask officers to keep their availability current in the app
- Add each officer’s licenses and certifications under Skills and Attributes, with expiry dates
- Set expiry warnings so renewals are flagged early
- Add hard requirements to each position for the licenses it needs
- Enable blocking for expired hard skills
- Agree on who updates a license record when you’re notified of a suspension or revocation

Fill the shift fast and stay audit-ready
With this setup in place, a supervisor covering a 5 a.m. call-off sees only officers who are available, qualified, and licensed for the post, along with the overtime impact of each choice. The licensing checks happen in the background on every shift, including the ones scheduled under pressure.
